Chief of Staff

As the Chief of Staff, you will act as a right hand to the President/CEO, acting as a strategic partner and operational ally, responsible for managing the President/CEO schedule, facilitating communications across the company, and ensuring smooth day-to-day operations by taking on various administrative tasks, allowing the President/CEO to focus on bigger picture vision and strategy. The Chief of Staff will work collaboratively with their team and other departments across the company to provide the President/CEO with a superior level of service.

While serving the President/CEO, the Chief of Staff has an obligation to leave no stone unturned.

Essential Functions
• Advises and guides the President/CEO on organizational and departmental priorities as appropriate, drives and supports necessary content preparation
• Acts as a sounding board for the President/CEO
• Manages the President/CEO calendar and prioritize tasks
• Drafts important communications on behalf of the President/CEO
• Monitors key performance indicators and provides updates
• Oversees day-to-day operations
• Monitors internal and external deadlines and action items for the President/CEO and provides direction, guidance, and appropriate reminders to assigned staff
• Serves as a liaison between the executive, employees, and external partners, ensuring clear communication and addressing any concerns
• Maintains confidentiality of highly sensitive information
• Manages several deadlines and ongoing projects at the same time and coordinates with all departments to keep projects moving
• Maintains accurate meeting minutes to ensure the President/CEO vision is followed and tasks are completed
• Prepares meeting agendas and materials
• Follows up on action items from meetings
• Oversees and manages special projects as assigned by the CEO
• Represents the CEO in meetings and discussions when necessary
• Executes strategic initiatives
• Develops and builds on relationships with all employees for increased efficiency and responsiveness of existing operations,

Supervisory Responsibility
This position has no direct supervisory responsibilities.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filling cabinets, and fax machines.
Physical Demands
This is a largely sedentary role, must be able to remain in a stationary position at least 50% of the time. Filing, printing, faxing, scanning, and copying is required; this requires the ability to move about the office and position self to access equipment and filing cabinets, transport items (files, box of paper, etc.) weighing up to 20 lbs., and ascend/descend step ladder/stool as necessary. The position requires extended hours in front of a computer screen and operation of a computer and other office equipment such as a calculator, and a copy machine. This position requires the ability to communicate effectively and exchange accurate information via telephone, in person, and in writing.
Hours of Work
This is a full-time position. The regular schedule is 8 a.m. - 5 p.m. Monday through Friday, with a flexible lunch hour. As job duties demand, evening and weekend work may be required.
Travel
Travel up to 25% may be required.
Required Education & Experience
• Bachelor's Degree in a related field
• 5 years of progressive management experience supporting C-level executives
• Advanced experience using various software such as Microsoft Office suite
Preferred Education & Experience
• Master's degree in a related field or combination of experience and education
• 10 years of management experience supporting a C-level executive
